Chauffeur planning guide

An airport transfer checklist for Toronto Pearson

Before an airport transfer, confirm the flight details, the terminal, the number of passengers and bags, and a phone number that will be answered on the day. Add the address at the Toronto end. Send all of that with your request and the plan is mostly done before you leave.

  • Flight, terminal and address
  • People, bags and a reachable phone
  • Time to spare at both ends

What should you have ready before you book?

Start with the flight number, the airline, the date and the scheduled time. For an arrival, these tell us roughly when to expect you. For a departure, they tell us when you need to be at the airport and, by extension, when you need to leave.

Add the terminal if you know it. Pearson splits its airlines between Terminal 1 and Terminal 3, and your pickup spot follows from which one you use. If you do not know yet, say so and we will work it out together. See the terminals guide for how they differ.

What do we need to know about the group?

Give us the headcount and the bag count, carry-ons included. Include carry-ons, oversized items and anything fragile. This decides the vehicle category, which you can read about in the vehicle category guide.

If anyone has special needs, such as a child seat, extra time getting around or a lot of equipment, mention it at the start. Our guides on child seats and accessibility cover those cases.

Which phone numbers matter?

Give us a number that will actually be answered on the day. If you are landing from overseas, remember that your home number may not work until you connect to a local network or Wi-Fi. A second number, such as a colleague or relative, is a sensible backup.

When someone else is the traveller, include their name and mobile in the message alongside yours. A pickup is easier when the person waiting for you knows who they are looking for.

  • Passenger name and mobile number
  • A backup contact on the ground
  • Name to look for at arrivals

How much time should you allow?

For arrivals, allow for the walk from the gate, immigration if you are coming from abroad, baggage claim and customs. For departures, allow for the drive to Pearson and for check-in and security. Road conditions around Highway 427, Highway 401 and the QEW can change the picture, so a ride that is quick at one hour can be slow at another.

We go into the details in our guides to how early to leave for Pearson and international arrivals. Read whichever applies to your trip.

What are the last checks before you travel?

The day before, reread your confirmation and compare it to your airline booking. If a flight time or terminal has changed, tell us straight away. On the day, keep your phone charged and your passport and documents in a bag you can reach.

After landing, switch your phone on before you leave the plane if you can, so any message from us comes through. Then head to baggage claim, collect your bags, and follow our pickup instructions. When you are ready, use Get Free Quote to send the details.

Quick answers

Airport transfer questions

Cannot find your answer? Call or email us and we will help.

What do I need to send for an airport pickup?
Send your flight number, airline, date, terminal if known, number of passengers, bags, the drop-off address and a phone number that will be answered. That is enough to start.
What if I do not know my terminal yet?
Say so in the request. Many airlines confirm the terminal closer to the date, and you can send an update once you know.
Who do I call when I land?
Use the phone number on your confirmation. If you do not have a local number, connect to airport Wi-Fi and message us there.
Can someone else travel on my booking?
Yes. List the traveller's name and mobile next to your contact details, and we will plan the pickup around them.
What if my flight is delayed?
Tell us as soon as you know. Delays are common, and we would rather adjust early than have a driver waiting for the wrong time.
Does this checklist work for departures too?
Yes. For a departure, swap the flight arrival time for your departure time and put your pickup address first. The same details apply.
